How to upload your listings in bulk using Reports tab

Seller Hub Reports, formerly known as eBay File Exchange, lets you upload and manage your inventory easily in CSV or XLS files. This is one of the most effective list strategies for high-volume sellers.

All you need to get started on Reports features is an eBay account with access to Seller Hub. Business sellers are automatically opted in to Seller Hub. Private sellers just need to have made at least one sale to get access. eBay Seller Hub listing features, as well as reporting and order management are free to use.

How to create templates to list or edit your inventory in bulk

Whether you're listing inventory for the first time or editing existing listings, you should start by creating templates in the Upload section.

  1. Go to Seller Hub Reports.
  2. Select Upload on the left-hand side.
  3. Select the Get template button.
  4. Select Listings from the Source options.
  5. Select Create new listings template as the template Type.
  6. Select the File type:
    • Excel Spreadsheet (.xlsx) is the default option, optimized to work well with the latest version of Excel
    • Comma Separated File (.csv) is recommended for advanced sellers and provides more flexibility for advanced apps as it structures the information in a table-type of layout. It’s compatible with most spreadsheet applications
  7. Select the required category (categories) from the Category options. Use the bar on the right to scroll down through the main category headings and click arrows to collapse the sub-categories. Tick up to 5 checkboxes and click Done).
  8. On the right side of the window, you will see a summary of columns. Check that the selected parameters are correct and select Download.

Creating new listings through the reports tab generally requires image hosting. However, you can use the Drafts template, leave the image URL column blank, and add images later when you're converting the draft to listings. To create a draft, simply select Create drafts template as the template Type on step 5. Then you can add images later when you're converting the draft to listings.

Category changes

  • Relevant and up-to-date changes eBay periodically makes to the category structure helps to ensure that your listings appear in the relevant categories
  • If and when the category structure changes, your listings may be automatically moved to a different category, based on the item specifics that you provided
  • Aligning categories across international eBay sites will make cross-country trading on eBay sites easier

You can also create templates to bulk edit and manage existing listings and orders:

  1. Go to Seller Hub Reports.
  2. Select Upload on the left-hand side.
  3. Select the Get template button.
  4. Choose Orders or Listings from the Source options.
  5. Select the template Type:
    • Edit price and quantity or Relist unsold listings — for Listings
    • Add order tracking and shipping info — for Orders
  6. If you choose Orders as the template source, select the Date Range for the report.
  7. Select Download.

How to fill in templates

The downloaded template is an interactive, smart file that allows you to view header definitions, choose fields from dropdowns, and see helpful tool tips. Inside the file template you will find different colors to help you decide which cells to pre-fill, helping buyers narrow down their search results to find your listing.

Valuable insights

If Reports is new to you, try to list 1-2 items first to familiarize yourself with the tool.

Inside the template file, you'll find general instructions and a link to the full guide on how to complete your listings and customize them with advanced features.

Start filling from left to right using the Add action to add new listings and fill in each column:

  1. Hover your mouse over headers to see column header definitions.
  2. Click on the cell with missing fields.
  3. Click on the arrow that appears beside the cell.
  4. Select an applicable value from the list or enter a custom value, or leave it blank if none is applicable.

Note the color reference on each cell: it's important to fill in color-coded item specifics. These item specifics will help buyers optimize their search results: the more information you enter, the more buyers will be able to find your products.

  • Red color indicates missing required fields for a listing
  • Yellow color indicates missing item specifics that will be required soon
  • Blue color indicates missing recommended item specifics for a listing
  • Grey color indicates item specifics does not apply to this item/category

How to upload completed templates

Each time you upload a template file to eBay, the items are automatically listed as specified. Insertion fees may be free, but please note that certain listing features (such as Subtitle) may incur additional fees. When you sell an item, eBay charges a final value fee, based on the final selling price of an item. See Selling fees and Store Selling fees for details.

1. Go back to Seller Hub Reports.

2. Select Upload on the left-hand side.

3. Select the Upload template button.

4. Choose .xlsx file type if you plan to use Excel, otherwise choose .csv file type.

5. Select the template type you're uploading.

6. Select Upload.

Seller Hub Reports functionality is based on the outdated File Exchange tool. Templates created in the File Exchange tool are not transferred to the reports. To create new templates in Seller Hub, follow the instructions above.
